If your Shopify order CSV opens in one column in Excel, the file is fine: Excel is reading it with the wrong separator. Shopify’s order export separates fields with commas, but Excel uses the list separator from your computer’s regional settings, which is a semicolon in many countries. Import the file through Data > From Text/CSV and choose Comma as the delimiter, and the columns come back.

This guide explains why it happens and gives you three ways to fix it, step by step.

Why does my Shopify order CSV open in one column?

A CSV file is plain text. A special character, the delimiter, marks where one column ends and the next begins. Shopify’s order export uses a comma.

When you double-click a CSV, Excel doesn’t look at the file to work out the delimiter. It uses the list separator from your computer’s regional settings. In many regions, including much of Europe and parts of Latin America, the comma is the decimal mark, so the list separator is a semicolon. Excel looks for semicolons, finds none, and puts each whole line into one cell in column A.

The reverse happens too: a file saved with semicolons opens in one column on a computer set up for commas.

So the cause is a mismatch between the delimiter in the file and the one Excel expects. The fix is to tell Excel which one to use.

Which fix should I use?

Option Best when Changes your computer’s settings?
1. Data > From Text/CSV You haven’t opened the file yet, or you can open it again No
2. Text to Columns The file is already open with everything in column A No
3. Change the list separator Every CSV you open breaks the same way Yes, for every program that uses your regional settings

How do I import the CSV with Data > From Text/CSV?

This is the most reliable method, and it leaves your system settings alone.

  1. Open a blank workbook in Excel. Don’t double-click the CSV.
  2. Go to the Data tab.
  3. Click From Text/CSV. In some versions it sits under Get Data > From File > From Text/CSV.
  4. Select your exported file and click Import.
  5. In the preview window, open the Delimiter dropdown and choose Comma.
  6. If names with accents look garbled, set File Origin to UTF-8.
  7. Check that the preview shows separate columns, then click Load.

Menu names vary a little between Excel versions and languages, so look for the option that imports text or CSV data. To keep ZIP codes, phone numbers and long order IDs exactly as Shopify wrote them, click Transform Data instead of Load and set those columns to Text. Our guide to exporting Shopify orders to Excel lists which columns need it.

How do I split a column that’s already open?

If the file is already open with everything in column A, split it in place with Text to Columns.

  1. Click the header of column A to select the whole column.
  2. Go to Data > Text to Columns.
  3. Choose Delimited and click Next.
  4. Tick Comma and untick the other delimiters. The preview should now show separate columns.
  5. Click Next. Select the ZIP, phone and ID columns in the preview and set Column data format to Text.
  6. Click Finish.

Check the result before you send it to anyone. Columns you leave on General can lose leading zeros, and long numbers can be rounded or shown in scientific notation.

Should I change the list separator on my computer?

Only if you open CSV files all the time and they always break. The setting applies to every program that reads your regional settings, so it can change how other files and apps behave.

  1. Windows: open Control Panel > Region > Additional settings and set List separator to a comma. If your decimal symbol is also a comma, you will need to change it first, because the two can’t be the same.
  2. Mac: Excel takes the separator from the number format in System Settings > General > Language & Region. If the decimal separator there is a comma, Excel expects semicolons.

Restart Excel after the change. For one-off files, the import in the first fix is safer.

What else goes wrong after the columns are split?

Getting the columns right is step one. Two more things come up when orders go to accounting or production:

  • One order takes several rows. In Shopify’s order export, an order with several products gets one row per line item, and many order fields on the extra rows are blank. Our guide to working with one row per line item covers that layout.
  • Line-item properties are not columns. Details customers enter on the product page, such as engraving text, gift messages and upload links, are not columns in the standard order CSV. Teams often copy them from each order by hand.

If you only need Shopify’s own export as a workbook, the Shopify order CSV to Excel converter turns the file into an .xlsx in your browser.

FAQ

Is my Shopify order export broken if it opens in one column?

No. The data is all there. Excel is splitting the lines on a different character from the one in the file. Import it with Data > From Text/CSV and choose Comma.

Why does the same file open fine on a colleague’s computer?

Excel uses each computer’s regional settings. If your colleague’s list separator is a comma and yours is a semicolon, the same file opens in columns for them and in one column for you.

Does saving the file again in Excel fix it?

Not by itself. Split it first with one of the fixes above, then use File > Save As and choose Excel Workbook (.xlsx). A workbook stores the columns, so it opens the same way on any computer.

Does Google Sheets have the same problem?

Google Sheets can detect the separator when you import the file through File > Import, and lets you pick Comma if it guesses wrong.

Try Columna: Order Export & Sheets

An Excel (.xlsx) file stores its columns, so there is no delimiter for Excel to guess. If you send orders to someone who works in Excel every week, exporting straight to XLSX skips the fixes above.

Columna: Order Export & Sheets exports Shopify orders to CSV or XLSX with line-item properties (engraving text, gift messages and upload links), processed in your browser. It is made for shops that hand orders to production, fulfilment or accounting.

Try Columna: Order Export & Sheets on the Shopify App Store.
