One series for invoices, one for credit notes, both independent of the order number. Example data.

What Shopify’s own VAT invoice covers, and where it stops

Shopify’s VAT invoice is a real help for many shops. The gaps show up once you sell to businesses, refund often or hand your books to a tax adviser. For a single invoice outside Shopify, such as a quote for a wholesale buyer, the browser invoice generator makes one from what you type.

  • Covered

A VAT invoice for EU and UK orders

With Shopify Tax, an order shipped to the EU or the UK can get a VAT invoice with your legal business name and VAT number. You download it in the admin and the customer sees it on the order status page. Source

  • Not covered

    Sending the invoice by email

The VAT invoice is not emailed to the customer on its own. B2B customers in particular expect it in their inbox, as a PDF they can file.

  • Not covered

    A number series you control

There is no invoice series of your own, such as RE-2026-0001 restarting each year, independent of the order number.

  • Not covered

A credit note for each refund

Shopify’s help page on VAT invoices does not describe credit notes. In Order Printer, a credit note means writing your own Liquid template.

  • Logo only

    Layout and wording

You can add your logo. The layout and the wording of the VAT invoice stay as Shopify sets them.

  • Elsewhere

An export for your tax adviser

The VAT invoice is one PDF per order. A booking batch your tax adviser can import into DATEV has to come from another app or a spreadsheet.

What the app is being built to do

This is the plan we are testing with this waitlist. Nothing here is live yet, and what ships may differ.

The core

Invoices and credit notes that match the order

The totals on the PDF are the totals in Shopify, after discounts, order edits and refunds, rounded the way Shopify rounds them.

  • Your own number series without gaps, for example per year, separate from the order number
  • A credit note for every refund, referring to the original invoice, in every plan
  • The PDF emailed to the customer when the order is paid or fulfilled
  • Both VAT numbers and the reverse-charge note on invoices to EU businesses
  • An issued invoice stays as it was issued; changes go on a credit note

A DATEV export for your tax adviser

Invoices and credit notes for a month or any period as a DATEV booking batch, with the PDFs, ready to hand to your Steuerberater.

Proper German, and English

Invoice wording written by people who know the terms, in the customer’s language. ZUGFeRD and XRechnung e-invoices are planned as an option for B2B.

How it is meant to work

  1. The order is paid

The invoice gets the next number in your series and goes to the customer by email.

  2. Something changes

A discount, an order edit or a partial refund: the documents follow Shopify’s figures.

  3. A refund is made

A credit note is created with its own number and a reference to the original invoice.

  4. The month closes

You export the period for DATEV and send it to your tax adviser.

What it will not do

  • No tax advice

It does not decide how a sale is taxed or promise that your invoices comply. Shopify’s tax settings and your tax adviser do that.

  • No bookkeeping

It does not replace your accounting software or your tax adviser; it hands them clean documents.

  • No national e-invoice portals

Country systems such as Italy’s SDI or Spain’s are not planned.

Planned pricing

What we plan to charge

Prices are not set yet. We plan a free plan for small shops, credit notes in every plan including the smallest, and a charge based on the invoices you actually issue, not on your orders. No plan will upgrade itself.

Questions, answered

Is the app available now?

No. StoreFleet: EU VAT Invoices + DATEV is in preparation and is not in the Shopify App Store yet. Join the waitlist and we will email you when it opens, or tell you if we decide not to build it.

Shopify already creates VAT invoices. Why another app?

Since November 2024 Shopify Tax can issue a VAT invoice for orders shipped to the EU and the UK, and for many orders to consumers that is enough. This app is for shops that also need the invoice emailed on its own, a number series they control, a credit note for every refund and an export for their tax adviser.

What is the DATEV export?

Most tax advisers in Germany work in DATEV. The plan is an export of your invoices and credit notes for a month or any period, in the DATEV booking batch format (Buchungsstapel) that your tax adviser imports, together with the PDFs.

Will it create ZUGFeRD or XRechnung e-invoices?

They are planned as an option for invoices to businesses, not for the first version. In Germany, businesses have had to be able to receive e-invoices since 1 January 2025, and issuing them for sales to other German businesses becomes mandatory in 2027 or 2028, depending on turnover. This is a summary, not tax advice.

Will the app make my invoices compliant?

No app can promise that, and this one does not. It is being built to put the details on the invoice that EU VAT rules ask for and to keep the numbers in step with Shopify. Check your setup with your tax adviser.

What will it cost?

Pricing is not set. What we plan is described under planned pricing above: credit notes in every plan, a charge based on the invoices you issue, and no automatic upgrade to a bigger plan.

What happens to the details I send?

We store your email address, your shop’s address, your country and your optional answers about the invoice app you use, only to email you about this app and to decide whether to build it. They are deleted after 12 months at the latest. See the privacy policy.
