Trade customers expect terms, not a card at the counter

Wholesale buyers apply by email, someone checks their VAT ID by hand and creates the company in Shopify field by field. At the counter, a trade sale on account ends up on paper.

Then the balances live in a spreadsheet and the reminders in someone's head.

Shopify B2B now runs on every paid plan, but it does not check a buyer's VAT ID, set reverse charge for EU buyers abroad, charge a trade sale to an account at the POS or chase unpaid orders.

What you get

An application form with a VAT ID check

Buyers apply through a form block on your store, with a VIES check of their EU VAT ID and up to three questions of your own. VIES tells you whether a VAT ID exists.

  • Company: Alpine Café GmbH
  • VAT ID: valid in VIES
  • Your question: Expected monthly order

Approve in one step

Approving creates the company, its location and contact in Shopify, adds it to the B2B market that carries its catalogue and sets its payment terms and credit limit. When the VAT ID is valid in VIES and the buyer is in another EU country, the location gets the EU reverse charge exemption. Approved VAT IDs are checked in VIES again every month, and you get an email when one stops being valid.

POS on account, balances and statements

At the counter, staff charge the cart to the company's account at its catalogue prices; the order is created with payment pending under its terms. Above the credit limit, a manager note is asked for. Track balances and overdue orders, send reminders and download monthly PDF statements.

What the form asks, what approval sets and what POS shows

The full detail of each step: the fields of the application form, what approving creates in Shopify, the checks at the counter and what you track per account.

Application form

  • Trade account application block for a page of your store, on an Online Store 2.0 theme
  • Company name and email, always required
  • VAT ID: on or off, required or optional
  • Phone number and business address: each on or off
  • Up to three questions of your own
  • Heading, introduction, button label, message after sending and colours
  • Standard text in English, German or French, in the shopper's language
  • A second application from a pending email address is refused

VAT ID check

  • Valid in VIES, with the registered name
  • Not found in VIES
  • VIES not reachable, with Check again
  • Not an EU VAT ID, not checked
  • VIES says whether a VAT ID exists; it does not verify the business

Approve or reject

  • B2B market whose catalog the company buys from, or no market to keep your regular amounts
  • Payment terms, such as Net 30
  • Credit limit, or your default limit from Settings
  • Creates the company, its location and contact in Shopify
  • Approving again after a failed step finishes it without creating the company twice
  • Reject with an optional message you send from your own email program

Charge to account in POS

  • Charge to account tile on the POS home screen
  • Accounts of the customer in the cart first, or search by company
  • Items from the company's catalog, tax, total, payment terms, open balance and credit limit
  • Over the limit, staff enter a reason, saved on the order
  • The order is created with payment pending under the terms, then Print receipt
  • Carts with a gift card or an amount changed by hand are refused
  • Net terms, due on receipt and due on fulfillment work; fixed-date terms do not
  • Trade account block on the POS customer screen: company, open balance, overdue orders, credit limit

Accounts

  • Outstanding, Overdue, Next due, Payment terms and Credit limit per company location
  • Badges for overdue orders and Over credit limit
  • Unpaid orders with due dates and Send reminder, an invoice email with a payment link from Shopify
  • Credit limit per account, or the default
  • Monthly statement PDF in English, German or French
  • Payments are collected in Shopify, by collecting payment or marking the order as paid

Markets and catalogs are created in Shopify; the app assigns them. Shopify B2B and a B2B market that carries your catalog are needed for company catalogs.

How it works

  1. Add the form

Place the Trade account application block on a page of your store.

  2. Approve applications

Check the VIES result and the defaults, then approve.

  3. Sell on account

Staff use the Charge to account tile in Shopify POS.

What it does not do

Knowing the limits up front saves you an install.

  • It does not take payments or lend money

Payments are collected in Shopify, as for any other order.

  • It does not create catalogues or price lists

It adds companies to the B2B market you already set up.

  • It does not verify businesses

VIES only says whether a VAT ID exists.

Questions before you install

Something else? Write to hello@reply.getstorefleet.com.

How much does it cost?

Free. There is no paid plan and no charge for any feature.

Which Shopify permissions does it ask for?

Write companies and customers, to create the approved company and its contact; read and write markets, to add it to your B2B market; write payment terms and draft orders, so Shopify POS can charge a cart to the account; write orders and read all orders, for balances, reminders and statements on unpaid orders older than 60 days; and read locales.

Do I need to change my theme?

No theme code changes. The application form is a theme app block you add to a page in the theme editor. It needs an Online Store 2.0 theme.

Do I need Shopify Plus?

No. Shopify B2B runs on every paid Shopify plan and gives you companies, catalogues, payment terms and volume pricing. Tradeo adds the VIES check, the EU reverse charge exemption, a monthly VAT ID recheck, POS sales on account, credit limits, reminders and statements. It needs a B2B market that carries your catalogue.

What happens to my data if I uninstall?

The app's access ends at once. Applications, account settings and the POS log are deleted when Shopify sends its erasure request. Companies, orders and payment terms stay in Shopify.

Do I need Shopify POS?

Only to charge sales to an account at the counter. Applications, approvals, balances and statements work without POS.
