Not every order should ship the moment it arrives. Some need a second look, some are waiting on one item, and some ship from two warehouses. Shopify gives you three tools for these cases: holds to stop an order shipping, partial fulfillment to ship what you have, and split and merged fulfillments to control how items are grouped into parcels.

This guide covers when to use each one, how to release a hold, how multiple locations change the picture, what customers see, and a routine for the peak around Black Friday (November 27, 2026) and Cyber Monday (November 30).

Fulfillment holds

What a hold does

A hold pauses fulfillment when an issue prevents you from shipping. Shopify names typical reasons: a high fraud risk, inventory that isn’t available, or an order cost or quantity above a value you set. While on hold, inventory can be reserved but fulfillment is blocked until the hold is released, and held orders are removed from your Unfulfilled list (fulfillment holds).

That last point is the value of a hold: a held order can’t slip into the packing batch. Bulk actions respect it too. Orders or fulfillments on hold can’t have their status changed with a bulk action (bulk fulfillment), which our bulk fulfill and tag guide covers.

When to hold

Situation Hold?
Medium or high fraud risk, not yet reviewed Yes; see high-risk orders and fraud analysis
Address looks wrong, waiting for the customer Yes
Customer asked for a change you haven’t made yet Yes, until the order edit is done
Unusually large order or quantity Yes, until someone checks it
One item out of stock, rest available Usually no: ship part, hold or wait on the rest
Payment authorized, not yet captured Depends on your capture rules

How to place a hold

  1. Go to Orders and open the order.
  2. In the Unfulfilled or In progress section, open the menu and select Mark as on hold.
  3. Select the items to hold.
  4. Choose a Hold reason.
  5. Click Mark as on hold.

A hold applies to a fulfillment, and you choose which items in it to hold. A fulfillment can have several holds at once, up to 10 manual holds, and apps can add their own system holds to the same fulfillment. To add another, click Add hold in the On hold section (fulfillment holds).

How to release a hold

  1. Open the order.
  2. In the On hold section, click Release hold.
  3. If there are several holds, select the ones to release and click Release.

When no holds remain, the fulfillment returns to Unfulfilled and rejoins your normal flow.

System holds from apps and Shopify

Some holds aren’t yours. Shopify lists system holds such as:

  • Marketplace authorization pending: a sales channel holds the order for fraud analysis and payment authorization, from 5 minutes to 24 hours.
  • Managed Markets authorization pending: fraud, customer information and duty checks, from 5 minutes to 24 hours.
  • Awaiting return items: on exchange items created in a return; release it manually after inspecting the returned items.
  • Pending upsell offer: during a post-purchase upsell, about one hour.
  • Unknown delivery date: selling-plan orders with no scheduled fulfillment date, usually pre-orders.

You can override a system hold, but Shopify advises reviewing your agreement with the app or service first, because overriding may breach it.

Automating holds

You can automate holds with Shopify Flow, from a blank workflow or the submit fulfillment request template, which includes a hold action. Add your fulfillment service provider to the template’s criteria before activating it. Flow availability depends on your plan.

Partial fulfillment

Partial fulfillment means shipping some items, or some units, now and the rest later. Shopify describes two cases (fulfilling orders individually):

  • Checkout already split the order. Each Unfulfilled section is a separate fulfillment, and you ship and mark each one separately. Here partial fulfillment isn’t optional.
  • You split it yourself, for example because an item is out of stock or on pre-order.

To fulfill part of an order yourself: open the order, click Mark as fulfilled in the Unfulfilled or In progress section, enter the quantity of each item you’re shipping, add tracking and the customer notification if you want, and confirm.

Keep in mind what partial fulfillment closes off. After an order is partially fulfilled, you can’t cancel it; you refund the remaining items instead, or cancel the fulfillment first (canceling orders). Refunding an unfulfilled item removes it from the order, so it can’t be fulfilled later (refunding orders). Our guide to partial refunds and restocking covers that side.

Split shipments and multiple locations

How Shopify groups items

If no single location can fulfill all the items, the order is split into separate fulfillments, with items grouped by location and delivery method. Location priorities in your order routing settings control which location is used first (fulfilling orders individually).

Split, merge and change location

Action What it does Limits
Split fulfillment Divides one fulfillment into several, by line items and quantities Not in the Shopify mobile app
Merge fulfillment Combines fulfillments from the same location into one Same location only; not in the mobile app
Change location Moves an unfulfilled fulfillment’s items to another location Not for local delivery or in-store pickup orders

Each fulfillment can also be held separately, so you can ship the warehouse items today and hold the items waiting at a second location.

Cancelling a fulfillment

If something was marked fulfilled by mistake, open the fulfilled section and choose Cancel fulfillment; the order’s fulfillment status changes back to Unfulfilled. Void any shipping label you bought first. Cancelling in Shopify doesn’t stop a fulfillment already in progress with a fulfillment service.

What the order status shows

With several fulfillments, the order’s status depends on the mix (fulfillment holds):

Fulfillments on the order Order shows
Any unfulfilled, plus one on hold Unfulfilled
One on hold, one fulfilled On hold
One on hold, one fulfilled, one unfulfilled Partially fulfilled
Several on hold On hold

The first row surprises teams: an order with one held fulfillment can still appear as Unfulfilled. Check the order itself before assuming nothing is held.

Customer communication

Customers see parcels, not fulfillments. What Shopify sends:

  • Shipping confirmation per fulfillment. Each fulfillment is fulfilled separately, so a customer can get more than one shipping confirmation for one order. The option is available only when you have the customer’s email.
  • Tracking added later. Adding a tracking number to a fulfilled order can send the customer a notification; deselect Send a notification to the customer if you don’t want it.
  • Holds. Shopify’s holds article doesn’t describe a customer notification for placing a hold, so plan on telling the customer yourself when a hold will delay their order.

Sources: fulfilling orders individually, fulfillment holds.

Practical wording for a split shipment: “Your order is coming in two parcels. The first left today with tracking; the second ships from our other warehouse by [date].” One sentence prevents the “I only got half my order” email.

For a hold, keep it neutral. If the hold is for a fraud review, ask for the specific detail you need rather than explaining why.

Holds, captures and protection

Two money details interact with holds and splits:

  • Capture. If you capture manually, Shopify Payments authorizes credit cards for 7 days, and after that you might not collect anything (capturing payments). If you set capture to Automatically when the entire order is fulfilled, think about orders waiting on one back-ordered item (payment authorization). Our holiday captures guide has the dates.
  • Shopify Protect. If you’re eligible, orders must be fulfilled with valid tracking within 7 days and be in transit within 10 days, with all non-refunded items fulfilled (Shopify Protect). A hold that lasts too long can cost the protection.

A peak-season routine

Before the packing batch

  1. Review the On hold orders: release what’s resolved, chase what isn’t.
  2. Hold new medium and high-risk orders before the batch.
  3. Check orders split across locations so each location ships its part.

After the batch

  1. Add tracking to anything fulfilled without it.
  2. Message customers whose orders were split or held.
  3. Note the expected date for every held or back-ordered item.

Team rules

Rule Why
Every hold has a reason and an owner A hold nobody owns becomes a late order
Fraud holds are released only by a named reviewer Stops a packer shipping a risky order
System holds aren’t overridden without checking the app Overriding may breach your agreement with it
Split orders get a customer message Prevents “missing item” tickets
Holds older than 2 days are reviewed daily Catches capture and protection deadlines

FAQ

Do held orders show in the Unfulfilled list?

No. Shopify removes orders on hold from the Unfulfilled list. But an order with one held fulfillment and another unfulfilled one shows as Unfulfilled overall.

Can I hold only some items on an order?

Yes. When you mark a fulfillment as on hold, you select the items to hold. Each fulfillment, for example each location, can be held separately.

Can I bulk fulfill orders that are on hold?

No. Orders or fulfillments on hold can’t have their status changed with a bulk action. Release the hold first.

Will my customer get several shipping emails for a split order?

They can. Each fulfillment is fulfilled separately, so a customer can receive more than one shipping confirmation for one order.

Can I cancel an order after shipping part of it?

No. After an order is partially fulfilled, Shopify doesn’t let you cancel it. Refund the remaining items, or cancel the fulfillment first.

Where Storefleet fits

Holds and fulfillment are Shopify features. Storefleet Store Ops adds one order list across your stores and one list of every package with its carrier and tracking number, filtered by store, status or date. In its web dashboard, cancellations, refunds and payment captures are owner-only, and each change belongs to one store, is approved for that store from one Approvals list and is read back from Shopify after writing. There is no automatic sync between stores. For the wider plan, read the BFCM 2026 checklist for multiple Shopify stores.
