Export Shopify Orders With Line-Item Properties for Production

Engraving text, gift messages and upload links live in line-item properties. How to get them out of Shopify orders and into a production sheet without retyping.

If you sell personalised products, the most important part of an order is often not the product name or the price. It is the text the customer typed into the engraving field, the gift message, or the link to the file they uploaded. On Shopify, those details are stored as line-item properties.

The standard order export CSV is built around order totals, addresses and line items, and it does not include those properties. That is why the same question has appeared in the Shopify Community for years: how do I get the engraving text into a spreadsheet? Many engraving and print shops end up opening each order and copying the text by hand into CorelDraw, Illustrator or a production sheet.

This guide explains what line-item properties are, why copying them by hand goes wrong, and how to set up an export your production team can work from.

What line-item properties are

A line-item property is a name and value attached to one item in an order. Your product form creates them when a customer fills in a custom field. Typical examples:

Two things matter for exporting them:

  • They belong to the line item, not the order. An order with three engraved items carries three separate engraving texts. Your sheet has to keep each text with its own item, or the texts get mixed up.
  • Each product can have different properties. A ring might have Engraving and Font, while a print has Upload and Size. A useful export keeps each property name apart so you can sort and filter by it.

Why copying by hand goes wrong

Copying from the order page into a design file works for a handful of orders. As volume grows, the same problems show up:

  • Typos in the one place a customer will notice. A wrong letter on an engraved gift is a remake, not a small error.
  • Missed items. On orders with several personalised items, it is easy to copy the first and skip the rest.
  • Lost upload links. Artwork links have to be opened and saved one by one, and a missing file stops the job.
  • No record of what was sent to production. When a customer disputes the text, there is no sheet to check against.

Step 1: Agree on property names

Before you export anything, make sure your product forms use consistent property names. Engraving, engraving text and Text to engrave will end up as three different fields. Pick one name per field, write it down, and use it on every product that offers that option.

Step 2: Decide what production actually needs

Your production sheet is not the same as your accounting report. For most engraving and print shops, a useful sheet contains:

  • Order number and order date
  • Product name, variant and SKU
  • Quantity
  • Each property the maker needs: text, font, colour, upload link
  • Any gift message that has to go in the box

Leave out what the maker does not need. A shorter sheet is faster to check.

Step 3: Export the batch and work from the file

Export the orders you are about to produce, for example unfulfilled orders from today, with each item’s properties kept next to that item. Then:

  1. Sort by product or SKU so all items of the same type are made together.
  2. Check the text column once for obvious problems, such as an empty engraving field on a product that requires one.
  3. Open the upload links and save the artwork into your job folder, named by order number.
  4. Paste or import the text into your design file instead of retyping it.

Step 4: Keep the sheet with the batch

Save the exported file with the date of the batch. If a customer asks why their item reads the way it does, you can show exactly what came in with the order.
